An office pod is a five- to twenty-thousand pound investment that's designed to last the lifetime of your office tenancy and beyond. Get the maintenance routine right and a well-specified pod will look, perform and feel as good in year ten as it did in week one. Get it wrong and the same pod will start to develop fabric stains, fan rattle, glass smudges and tired-looking trim within twelve months. This guide is the maintenance playbook we share with every customer after installation - daily, weekly, monthly and annual - so you can protect the value of your fleet for as long as possible.
Daily Care Basics (User Responsibilities)
The majority of pod longevity comes down to one thing: the small habits of the people using them every day. A two-minute reset at the end of each booking prevents 80% of the wear and tear we see on neglected pods.
The day-to-day basics:
- •Wipe down the desk surface with a soft microfibre cloth after each session. Spilled coffee and biscuit crumbs left for hours are the leading cause of stained desktops.
- •Tuck the chair back in so the seat doesn't repeatedly catch on the door frame.
- •Switch off the light before exiting (most modern pods have PIR sensors so this is automatic, but it's good practice for older units).
- •Don't slam the door - acoustic hinges are designed to self-close gently. Slamming repeatedly strains the hinge and the seal.
- •Report issues immediately - a flickering light or noisy fan caught early is a 10-minute fix; left for three months it can become a £200 service call.
A simple laminated "Pod Etiquette" card on the inside of each door, listing these five points, is the single most effective maintenance tool we've ever recommended.
Weekly Cleaning Routine
Most offices include the pods in their general weekly cleaning round. Make sure the cleaning team has clear instructions, because pods need slightly different products than the rest of the office:
- •Glass panels: vinegar-and-water solution or a streak-free glass cleaner with a microfibre cloth. Avoid ammonia-based products on toughened glass - long-term they can micro-etch the surface.
- •Aluminium and steel framing: damp microfibre cloth only. Solvent-based cleaners (acetone, white spirit) will strip the powder coating over time.
- •Acoustic fabric panels: a soft brush attachment on a vacuum, working in straight lines top to bottom. Light dusting only - no liquid cleaners on fabric.
- •Desk surfaces: standard antibacterial wipes are fine for laminate and MFC tops. Veneer and solid timber tops should use a dedicated wood-safe spray.
- •Door handles and touch surfaces: alcohol-based disinfectant wipes (these are the highest-touch surfaces in the entire pod - clean them daily during cold and flu season).
- •Floors: vacuum carpeted floors weekly; mop hard floors with a barely-damp microfibre.
Time-on-task per pod: roughly 3-4 minutes. Whole-fleet weekly cleaning for a typical 5-pod office sits comfortably inside an existing cleaning contract.
Monthly Maintenance Checklist
Once a month, take 15 minutes per pod for the deeper check. This is something a facilities lead or office manager can do without external help:
- •Acoustic seal check - run a hand around the door frame seal. Soft, intact, gripping the glass = good. Hardened, cracked, or pulling away = order a replacement seal (~£35).
- •Hinge inspection - open and close the door slowly. Should feel smooth across the full arc with no creak. A drop of silicone lubricant fixes 90% of issues.
- •Fan grille check - look up at the ventilation grille. Visible dust accumulation indicates the filter is approaching its replacement point.
- •LED inspection - turn on the light and check brightness is consistent across the full strip. Dimming or flickering at one end = LED strip approaching end of life (5-7 years typical).
- •Floor and trim check - look for separations between flooring and skirting; lifting trim; cracks at corners. Caught early these are all small fixes.
- •Power and USB check - plug a device into every socket and USB port. Confirms nothing has worked loose or burnt out.
Log the findings in a simple shared spreadsheet so you can spot recurring issues across your fleet.
Filter Replacement Schedules and Costs
This is the maintenance item most customers forget about - and the one that has the biggest impact on long-term performance and resale value.
Modern pods use a small in-line axial fan with either a foam dust pre-filter, a HEPA filter, or both. Schedules vary by manufacturer, but typical replacement intervals are:
- •Foam dust pre-filter: every 6 months. Cost: £8-£15 per filter. DIY replacement (clip-out, clip-in).
- •HEPA filter (where fitted): every 12-24 months. Cost: £35-£80 per filter. Typically still a DIY job; takes 5-10 minutes.
- •Carbon filter (for outdoor pods with smoke/odour mitigation): every 12 months. Cost: £40-£60.
Across a 5-pod fleet, expect to budget £75-£150 per year in filter consumables - a tiny figure compared to the savings of catching airflow issues before they damage the fan motor.
Most reputable manufacturers (JDD, Frem, Koplus, Hush Pods, Loop Phone Booths) sell genuine replacement filters direct - always specify the exact pod model when ordering. Generic substitutes from third-party suppliers can be a false economy: they often have slightly different airflow characteristics and can void warranty cover.
Fabric and Upholstery Care
The single biggest visible aging factor on a pod is fabric wear. Modern acoustic fabrics (Camira, Kvadrat, Gabriel) are spec'd to commercial standards but they still need looking after:
- •Spot-clean spills immediately - blot, don't rub. A water-based stain caught in 60 seconds usually leaves zero mark.
- •Six-monthly fabric vacuum - upholstery attachment, working in panels, vacuum each acoustic surface.
- •Annual professional clean - a commercial upholstery specialist with a low-moisture extraction system. Budget £30-£60 per pod, per year. This single annual treatment is the difference between fabric that looks pristine at year ten and fabric that looks tired at year three.
- •Avoid sun exposure - if your pods sit next to a south-facing window, consider window film or seasonal blinds. UV is the silent killer of fabric colour.
For higher-touch upholstered surfaces like bench seating, treat them like office sofas: a stain-protector spray reapplied annually adds genuine years of life.
Glass Cleaning Tips
Glass is the most-photographed surface of any pod (it's what visitors see first) so it deserves a dedicated approach:
- •Use a freshly-laundered microfibre cloth every clean - reused cloths trap grit and cause micro-scratches.
- •Apply cleaner to the cloth, not directly to the glass, so it doesn't drip into the door seal or electrical components.
- •Clean in vertical strokes inside, horizontal strokes outside - that way if streaks remain, you immediately know which side they're on.
- •For deep-cleaning fingerprint smudges, isopropyl alcohol on a microfibre is fast and streak-free.
- •Avoid abrasive sponges and paper towels - both will eventually dull the glass surface.
Dealing with Wear and Tear
Even with the best routine, normal wear happens. Common issues and rough costs:
- •Hinge stiffness or squeak: silicone spray + tighten screws. £0 in materials.
- •Door not closing flush: hinge adjustment via grub-screw on the top hinge. £0 in materials.
- •Seal hardening or separation: replacement strip glued in. £25-£45 in parts, 30 minutes' labour.
- •LED strip failure: drop-in replacement. £40-£90 in parts, 45 minutes' labour.
- •Fan rattle: dust the impeller and re-balance, or replace fan. £0-£75.
- •Fabric scuff: localised steam-and-brush usually rescues; severe damage = panel re-skin. £80-£150.
The pattern is consistent: cheap to fix early, expensive when ignored.
When to Call for Professional Service
Most maintenance is well within the capability of an in-house facilities team. Call in a professional when:
- •The ventilation fan is making rattle, grinding or buzzing noises you can't trace to dust
- •The acoustic performance has noticeably degraded (people can hear conversations from outside the pod again)
- •Any electrical or charging socket has burnt smell, scorch marks, or stops working
- •Glass has chips, cracks or seal-failure (e.g. moisture between double-glazed panels)
- •The structural framing has visible movement or has come away from the floor
Every reputable UK pod manufacturer offers an annual service contract for their products. Typical pricing: £150-£250 per pod, per year, including filter replacement, hinge service, seal check, LED check and a written condition report. For a fleet of 3+ pods this is almost always cheaper than reactive call-outs.
Extending the Lifespan of Your Investment
The compound effect of doing all the above is significant. Pods that receive consistent maintenance routinely last 12-15 years without major refurbishment. Pods that are bought, installed and forgotten typically need a full fabric and trim refresh at year 5-7.
The financial maths matters: a £10,000 pod spread over 15 years costs about £55 per month. The same pod refurbished at year 7 (~£3,500 refurbishment) spread over 15 years costs £75 per month - a 35% increase purely down to maintenance habits.
